Executive Assistant – Head of Origination

Role Purpose

Assist Directors to make the best use of their time by providing high quality senior level administrative support. Work as part of a team to help support a wide variety of activities including general office management. We have two positions for this role - one based in London and one in New York.

  • Provide effective and responsive senior administrative support to Executive Management as required
  • Represent the Executive Administration office with a high degree of customer service, professionalism and confidentiality
  • Facilitate communication and serve as a liaison between executive officers, board members, personnel, customers and stakeholder
  • Assess business priorities and provide efficient management and coordination of complex executive diaries
  • Prepare professional correspondence
  • Manage executives’ extremely active calendars
  • Arrange complex and detailed travel, itineraries and agenda, national and international
  • Process monthly expenses
  • Manage meeting rooms ensuring they are set up prior to meetings and cleared post meetings and refreshments are available
  • Meet and greet clients in a warm and confident manner
  • Order office supplies as required
  • Adhoc administrative duties

Skills and Abilities

  • Proven experience in a similar role
  • Excellent communicator at all levels with strong interpersonal skills
  • Comfortable dealing with individuals at all levels of seniority
  • Expert-level written and verbal communication skills
  • Excellent customer service skills
  • Highly organised with the ability to filter, manage and prioritise email on behalf of MD
  • A polite and confident manner
  • Able to work on own initiative
  • Ability to maintain professionalism and poise while handling difficult and stressful situations
  • Strong organizational skills that reflect ability to perform and prioritise multiple tasks seamlessly with excellent attention to detail
  • Proficient with MS Office packages, Excel, PowerPoint and Outlook and other office systems such as CRM and CapIQ
